OneDrive Group Policy Access Change Monitoring Tool for Business

Microsoft OneDrive is a free, internet-based storage platform available to anyone with a Microsoft account. It is a hard drive rooted in the cloud that can be shared with other people. OneDrive is one of the many Office 365 applications included with a Microsoft email account, making it a very easy and popular option for businesses that want to share files without procuring a separate platform to do so. Users get 5GB of free storage upon signing up and 50 additional GB are available for two dollars per month. OneDrive syncs data across all computers, tablets, and smartphones set up with the same Microsoft account, provided you are connected to a network. File Explorer, the companion piece to OneDrive, offers a simple way of copying files from a computer onto OneDrive as long as the file to be copied is visible to File Explorer. In addition to Windows, the OneDrive app is available for Mac, Android, iPhone, and iPad. 

OneDrive for Business is a special version of OneDrive available to users with Office 365 Business plans of SharePoint team sites. The features are essentially the same except OneDrive for Business has more administrative capabilities like OneDrive Group Policy settings. 

OneDrive is not any more or less secure than other cloud-based platforms. There is always some level of risk involved in storing business files on a cloud server and, while there is a fair amount of security measures in place, most data security precautions are the user’s responsibility. Any workstation with access to OneDrive should be password protected, and operating on a secure connection and not connected to an open Wi-Fi network. Also, the workstation should have the most recent malware detection software and additional physical security measures to verify a user’s identity. Businesses should also be mindful about what content they are storing in OneDrive. For example, login information and PCI DSS regulated data should never be stored on cloud-based servers. Microsoft, like many other companies, reserves the right to scan files for objectionable content and if any is found the files will be deleted. File encryption is available for OneDrive for Business GPO users. 

In terms of core functions, OneDrive for Business is an upgrade of OneDrive. Like the original application, files or folders stored in OneDrive can be shared through a link (based on permissions given) or by changing the file’s settings. What sets OneDrive for Business apart is that it’s a synchronization tool, first and foremost. The app makes it easier for large business teams to share files and make changes to said files all in one location. This is a crucial capability for large teams or for an office that includes remote workers. 

OneDrive for Business Group Policy is a feature of the Microsoft family of operating systems. It is a group of settings that define what the system will look like and how it will perform for a defined group of users. OneDrive Group Policy settings centralize management on the OneDrive platform and can also help protect computers within that system from data breaches and other security vulnerabilities.
